Privacy Policy
This Privacy Policy explains how GSNS Expedite | Logistics o/b 1037471 Ontario Inc ("GSNS", "we", "us", or "our") collects, uses, discloses, and safeguards information in connection with our freight management platform, websites, and related services, including our integration with QuickBooks Online.

1. Who We Are
GSNS Expedite | Logistics o/b 1037471 Ontario Inc is a freight and logistics carrier based in Oshawa, Ontario. We operate a web-based freight management application (the “Platform”) used by our staff, drivers, and authorized business customers to create and track orders, manage deliveries, and handle invoicing and accounting, including synchronization with QuickBooks Online.
This Policy applies to information processed through the Platform, our marketing website at gsns.ca, and our customer portal. By using the Platform or our websites, you agree to the practices described in this Policy.
2. Information We Collect
We collect the following categories of information:
- Account & identity information — name, email address, telephone number, business name, role, and login credentials for users of the Platform.
- Freight & order information — pickup and delivery addresses, contact details, shipment descriptions, weights, service levels, scheduling, proof-of-delivery records, and related operational data.
- Billing & accounting information — invoices, line items, charges, taxes, payment status, and customer billing details used to manage accounts receivable.
- QuickBooks Online data — when an authorized administrator connects our application to a QuickBooks Online company, we access and exchange accounting records such as customers, items, invoices, tax codes, and related metadata strictly to keep invoicing and accounting in sync. See Section 5.
- Technical & usage information — IP address, browser and device type, language preference, log data, and similar information automatically collected to operate, secure, and improve the Platform.
3. How We Use Information
We use the information we collect to:
- Provide, operate, and maintain the Platform and our services;
- Create, dispatch, track, and complete freight orders and deliveries;
- Generate, send, and reconcile invoices and accounting records, including synchronization with QuickBooks Online;
- Authenticate users, secure accounts, and prevent fraud or abuse;
- Communicate with you about your account, orders, and support;
- Comply with legal, tax, and regulatory obligations; and
- Monitor, troubleshoot, and improve our services.
4. Legal Bases for Processing
Where required by law, we process personal information on the basis of performance of a contract, our legitimate business interests in operating logistics and accounting services, compliance with legal obligations, and, where applicable, your consent. You may withdraw consent at any time, subject to legal or contractual restrictions.
5. QuickBooks Online Integration
Our Platform integrates with Intuit’s QuickBooks Online to keep invoicing and accounting records consistent. This integration is important to how we handle data, so we describe it specifically:
- Authorization.The connection is established only by an authorized administrator using Intuit’s secure OAuth 2.0 flow. We never ask for or store your Intuit username or password.
- Tokens. We store the access and refresh tokens issued by Intuit in encrypted form solely to maintain the authorized connection. These tokens can be revoked at any time (see Section 9).
- Data accessed. We access only the QuickBooks Online data needed to synchronize accounting — for example customers, items, invoices, and tax codes. We do not access QuickBooks data that is unrelated to invoicing and accounting reconciliation.
- Use of data. QuickBooks Online data is used only to create and reconcile invoices and customer records between the Platform and your QuickBooks Online company. We do not sell, rent, or use this data for advertising.
- Intuit’s terms.Your use of QuickBooks Online is also governed by Intuit’s own terms and privacy policy. We handle Intuit data in accordance with applicable Intuit developer requirements.
6. How We Share Information
We do not sell personal information. We share information only as follows:
- Intuit / QuickBooks Online — to operate the accounting synchronization you have authorized.
- Service providers — vendors that host our infrastructure, deliver email and SMS notifications, provide mapping and geocoding, and process payments, each under contractual obligations to protect the information.
- Operational partners — carriers, drivers, and recipients, only to the extent needed to complete a delivery.
- Legal & safety — when required by law, legal process, or to protect the rights, property, or safety of GSNS, our customers, or others.
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this Policy.
7. Data Storage & Security
We use administrative, technical, and physical safeguards designed to protect information, including encryption in transit, encrypted storage of sensitive credentials and integration tokens, access controls, multi-factor authentication for privileged accounts, and audit logging. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Data Retention
We retain information for as long as needed to provide our services and for legitimate business, tax, accounting, and legal purposes. When information is no longer required, we delete or de-identify it. Where you disconnect the QuickBooks Online integration, the associated access and refresh tokens are revoked and removed.
9. Your Choices & Rights
Depending on your location, you may have the right to:
- Access the personal information we hold about you;
- Request correction of inaccurate or incomplete information;
- Request deletion of your personal information;
- Object to or restrict certain processing; and
- Withdraw consent where processing is based on consent.
To exercise these rights, contact us using the details in Section 13. You may also disconnect the QuickBooks Online integration at any time from within the Platform or from your Intuit account’s connected apps settings, which revokes our access going forward.
10. Cross-Border Data Transfers
We are based in Canada. Some of our service providers may process information in other countries. Where we transfer information across borders, we take steps to ensure it remains protected in accordance with this Policy and applicable law.
11. Children’s Privacy
The Platform is intended for business use and is not directed to children. We do not knowingly collect personal information from children under the age of 13 (or the equivalent minimum age in your jurisdiction).
12. Changes to This Policy
We may update this Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice. Your continued use of the Platform after changes take effect constitutes acceptance of the updated Policy.
